What file formats are supported?
RFP Extract currently supports text-based PDF files. The tool works best with PDFs that have selectable text. Scanned PDFs or image-based documents require OCR processing (see our OCR setup guide for more information).
How accurate is the requirement extraction?
Our AI models are specifically trained on government RFP documents and achieve high accuracy rates. However, we always recommend reviewing the extracted requirements to ensure completeness. The tool provides confidence scores for each extraction to help you identify which items may need closer review.
Can I process multiple RFP documents at once?
Yes! You can upload multiple PDF files simultaneously. RFP Extract will process each document and combine all extracted requirements into a single compliance matrix, making it easy to manage complex multi-document solicitations.
How is my data kept secure?
Your documents are processed securely and are not permanently stored on our servers. Files are temporarily uploaded for processing and automatically deleted after extraction is complete. We take data privacy seriously and follow industry-standard security practices.
What export formats are available?
You can export your compliance matrix in Excel (.xlsx) or CSV format. The Excel export includes formatted tables with all requirement details, while CSV is ideal for importing into other tools or databases. We also provide L/M alignment exports for Section L and Section M cross-referencing.
How long does processing take?
Processing time depends on the size and complexity of your RFP documents. Most typical RFPs (50-150 pages) are processed within 2-5 minutes. Larger documents may take longer, but our chunking technology ensures efficient processing even for complex, multi-hundred page solicitations.
Can I edit the extracted requirements?
Absolutely! After extraction, you can review and edit any requirement text, add your proposed responses, update compliance status, and add notes directly in the interface. All edits are preserved in your exports.

Common Issues & Solutions
Scanned PDF Error
Issue: "Document appears to be scanned/image-based"
Solution: This means the PDF contains images of text rather than selectable text. You'll need to enable OCR (Optical Character Recognition). Check our OCR setup documentation or contact support for assistance.
Processing Taking Too Long
Issue: Document stuck in processing stage
Solution: Very large documents (200+ pages) may take several minutes. If processing exceeds 10 minutes, try refreshing the page and re-uploading. For persistent issues, contact support.
Missing Requirements
Issue: Some requirements weren't extracted
Solution: AI extraction is highly accurate but may occasionally miss unusual formatting. Review the results and manually add any missed items using the interface. Low confidence scores can help identify areas needing review.
Export Not Working
Issue: Export button doesn't download file
Solution: Check your browser's download settings and pop-up blocker. Ensure JavaScript is enabled. Try a different browser if the issue persists.
